Kodak Info Insight Software: Preview

For those of you that didn't make the Global Directions conference hosted by Kodak, here's a preview of their new Info Insight software from Ralph Gammon of Document Imaging Report (DIR). Below is an excerpt from his most recent DIR newsletter.

"Info Insight is a true multi-channel capture application that can be utilized on scanned documents, as well as electronic documents like emails, text messages, and even social media communication...

"Info Insight is being marketed separately from Kodak Capture Pro, which can potentially be configured on the front end for capturing paper batches, or on the back-end for providing release into third-party applications. Some of the configuration details are still being worked out and Info Insight is not scheduled to be released until early 2013. It will be offered as both a cloud and on-premise solution.

"A learn-by-example approach can be used to basically teach Info Insight how to extract data from a variety of documents types. This same approach can also be used to train the system on auto-classification. Rules can be applied on more structured document types."

Bigelow Tea's 813% ROI: Cloud Document Management Case Study

In order to meet federal and state requirements, the Bigelow Accounts Payable department saved five years of paper-based tax information at their headquarters in a half-dozen, five-drawer filing cabinets, and employees across multiple departments frequently accessed the files. Documents were misfiled, lost and costly to copy, fax and mail. Labor increased costs. Employees spent eight hours every month filing and re-filing documents. Kodak Launches Remote Scanner Management Software

Kodak Asset Management Software Delivers Valuable Insight to Optimize Scanner Performance and Business Processes

Businesses using Kodak’s desktop scanners across their organization can now monitor, manage and update these capture peripherals through a central server and web-based administration interface. Kodak Asset Management Software will enable IT directors and system administrators to remotely monitor scanner performance and status, deploy driver and profile updates, and gain insight to identify trends and streamline processes.

Available as a server and client module, Kodak Asset Management Software helps businesses optimize time, budgets, resources and efficiency related to document-based processes and applications. Asset Management Software will be available in the United States and Canada beginning Aug. 29 and in other parts of the world shortly after.

Kodak to Focus Primarily on Commercial, Packaging and Functional Printing Solutions and Enterprise Services; Initiates Sales Processes for Personalized Imaging and Document Imaging Businesses; Discussions Continue on Digital Imaging Patent Portfolio, which May Be Sold or Retained

ROCHESTER, N.Y., August 23—Eastman Kodak Company today outlined its next steps toward a successful emergence from Chapter 11 reorganization as a company primarily focused on commercial, packaging and functional printing solutions and enterprise services. Accordingly, the company has initiated sale processes for its market-leading Personalized Imaging and Document Imaging businesses.

Kodak believes that the sale of these assets, as well as continued cost-reduction initiatives, curtailment of its legacy liabilities, and the monetization of the company's digital imaging patent portfolio, will be significant milestones toward completing the company's reorganization and emergence from Chapter 11 during 2013.

"The initiation of a process to sell the Personalized Imaging and Document Imaging businesses is an important step in our company's reorganization to focus our business on the commercial markets and enable Kodak to accelerate its momentum toward emergence," said Antonio M. Perez, Chairman and Chief Executive Officer. "In addition, we continue our initiatives to reduce our cost structure and streamline our operating models in an effort to return the company to profitability."

Kodak noted that in addition to the commercial, packaging and functional printing and enterprise services businesses, it also continues to own and operate the Consumer Inkjet, Entertainment Imaging, Commercial Film and Specialty Chemicals businesses, given the company's expertise, capabilities and strong customer relationships in these markets, as well as their combined cash-generating capability.

The Personalized Imaging business consists of Retail Systems Solutions (RSS), Paper & Output Systems (P&OS) and Event Imaging Solutions (EIS). RSS is the worldwide leader in retail print solutions with a global footprint of 105,000 KODAK Picture Kiosks; P&OS includes the broadest portfolio of traditional photographic paper and still camera film products; and EIS provides souvenir photo products at theme parks and other venues. The Document Imaging business provides a leading and comprehensive portfolio of scanners, capture software and services to enterprise customers.

Kodak said it would move forward as quickly as possible and has targeted completing these transactions in the first half of 2013. Lazard is adviser to Kodak in the sale process.

In accordance with its prior announcement, the company is continuing discussions with parties with respect to the potential sale of its digital imaging patent portfolio. The company reiterates that it has made no decision to sell the portfolio and Kodak may, in consultation with creditors, retain the portfolio as an alternative source of recovery for creditors.

"As we move forward with the Chapter 11 process, we are focused on delivering the highest value to our creditors so that we can emerge as a sustainable, profitable company that continues to meet the needs of our customers," Perez concluded.

We're now living in the 21st Century. We drive electric cars, or at least hybrids. We use the wireless internet. We have iPads. But there's something out there that firmly anchors organizations in the 20th Century: microfilm rolls, microfiche jackets and aperture cards... oh, my.

Microfilm Scanning

Microfilm scanning can be quite challenging. Scanning these delicate images requires the correct equipment and quality control processes to assure that the all the images are captured. Can I Destroy This Document? A Brief Tutorial

Many companies wonder if they can legally destroy an original document, but not violate any laws. Answering this question correctly can lead to significant cost reductions and process improvements, since it's a hurdle to implementing a document management system.

As with any complex issue, the answer is: "it depends."

For the most part, legal precedence and rulings enable digital images to be viewed in the same manner as the original piece of paper. This is a good thing. The U.S. Government has created the UPA (Uniform Photographic Copies of Business and Public Records as Evidence Act). While originally designed for other media, the law has successfully applied to digital images, including those stored that were never paper (think COLD processing).

The key to successfully implementing a scan and destroy program, though, requires discipline and a good legal opinion, as well as good policy. To a larger extent, a good policy, and proof that your organization follows the policy, strengthens your case for being able to deploy a document retention policy. What constitutes a good policy? Not unlike a financial audit, Sarbanes-Oxley (SOX), ISO 9000 or other process driven regulations, a good document retention policy follows this guideline:

Say what you do, do what you say, and prove it.

Below are some elements to consider when deploying a document retention strategy:

Begin with your lawyer: having a formal, legal opinion is the foundation of a good program. Get a policy in place that discusses your organization's position on converting paper documents into digital documents. Resources include ARMA, AIIM and your state's archivist.
Make someone accountable: not unlike someone who manages the audit process, having a person responsible for these processes and managing them goes a long way to assuring that your organization follows the rules your lawyer created.
Deploy best document management practices: make sure that once a document is scanned, it can be easily found. This is true of both scanned images and electronically generated images.
Make sure you have great images: having great images that accurately reflect the original documents (color in color, if important, bitonal in bitonal) makes sure that you have an accurate representation of the original.
Evidence/Audit: perform periodic self audits of your process, document the audit and store the audit results in your repository.

In summary, having a good document management and retention policy is like having good accounting procedures. The better the policy, complete with procedures and providing evidence that you are following your own rules, the lower the probability that you will not end up in court.

Each state has slightly different rules and regulations regarding these activities, so make sure that you have engaged the appropriate resources. You can speak with your state archivist, usually at no charge, to gather information. We can help.
