Are you currently looking for a way to convert large format documents (like blueprints or large maps) to digital files? Well, you are in the right place! Datamation specializes in providing large format document scanning services for companies of all sizes that have oversized or wide format documents. We can scan your documents on our large format scanners in full color, or black and white, depending on the needs of your project and organization.

One of our main forms of large format scanning is our blueprint scanning service. Due to the size of blueprints and the details they include, scanning them is the perfect way to preserve them for long-term storage and use. No matter if you’re private company or a local government organization, blueprint scanning can help you find information faster and reclaim space in your office.

Large Format Document Scanning Services

Many organizations work with large format documents. These can include, but certainly aren’t limited to:

  • Blueprints
  • Engineering drawings
  • Posters
  • Architectural drawings
  • Maps
  • Banners
  • Aerial photographs
  • Land surveys
  • Any document printed on A0 size paper

Unfortunately, these types of documents can be difficult to maneuver, organize, and store. Your employees may be folding them, rolling them up into tubes, or even worse, piling up in a back room somewhere, without any type of order or categorization.

Large document scanning allows those larger documents to be transformed into digital files. These digital files can be kept right on a desktop computer, in a shared drive, or on a USB drive. They are much easier to label, organize, and share. Imagine being able to simply email a blueprint to a client instead of having to figure out a way to mail it or deliver it. Tasks and processes can change for the better when large format scanning becomes a part of everyday business.

Datamation is a high-volume scanning company, so we typically do not scan just one or a couple large format documents. Most of our clients have multiple drawers worth of blueprints, architectural drawings, and other items to digitize.

Benefits Of Large Format Document Scanning

Here at Datamation, we realize how big of an impact large format scanning can have for organizations. We have seen our clients prosper as they experience the benefits that come along with large document scanning. If you are looking for one or more reasons to scan large documents, here they are:

Improved Document Control

Paper documents, especially larger ones, can be difficult to handle and organize. Instead of being securely filed away, they more often end up in spare rooms and extra boxes. Digital documents can exist as password protected programs or on a secure company server. They can also be shared via safe cloud platforms or internal software systems.

Centrally Scanned and Indexed

Our large format scanning lets us get all the hard work done for you. We can scan all of your larger documents into a central, digital location. As we scan, the documents can be indexed or labeled by categories like client name, project number, or date received. Simply send your documents to us (or let us pick them up) and next thing you know, they are available digitally right on your computer.

Searchability and Accessibility

Once your large documents are digital files, they can be keyword searched. It’s just as easy as searching Google, but your result is the document you need! Cloud-based storage systems also allow you to securely access documents from mobile devices and off-site locations for viewing, editing, and sharing.

Increased Office Space

Just think about how much room your current large format paper documents are taking up in your office. It’s not uncommon for large companies to have several rooms designated just for the storage of documents like maps, blueprints and engineering drawings. What if you could reclaim that space? You would be able to put in more offices, conference rooms, or maybe even an employee break room!

Enhanced Productivity

Digital files that are easier to find, move, and access make every task easier to complete for employees. In fact, some companies reported increased productivity due simply to the fact that employees didn’t have to spend hours searching through boxes of documents for the right one. A simple keyword search brings the drawing and rendering the employee needs right to their fingertips.

Archive and Store

For documents that aren’t needed anymore, digital files can be securely archived. Instead of taking up physical space, the digital versions can be stored on a drive, in the cloud, or on an internal computer/server system. Saving documents this way saves time, space, and money.

The Datamation Large Format Document Scanning Process

We make the large format scanning process as easy as possible. The first step is a consultation to find out what your needs are and how we can help. During the consultation, we go over what is expected, what the scope of the project is, and we look at the large format files that need to be scanned. The second step is for the physical files to be picked up by our team and transported to our office for scanning.

Upon arrival of the documents, they are prepared for scanning. This includes repairing tears, taking out staples, and taping down any post-it notes. The documents are then put through our large format scanners. As the documents are scanned, our staff indexes them so they can be keyword searched after completion. When the files have been correctly scanned and checked, they are returned to you via DVD, USB, cloud drive, email, or another digital transfer method of your choice.
