Our Process
Seamless, integrated and worry-free
  • Paper Conversion
    1. Boxing / Pickup
    To ensure the security and privacy of your records, files are picked up by a Datamation employee in a Datamation vehicle.
    2. Receiving
    Bar code labels are applied to all boxes to track the processing status and location of the files.
    3. Document Preparation
    Files are thoroughly prepared for scanning. This includes staple removal, repairing of tears, inserting file cover sheets if needed and any other steps that are needed prior to scanning.
    4. Scanning / Capture
    Pages are scanned on Kodak production scanners. Based on the capture requirements, pages can be scanned duplex (front & back simultaneously), in color, grayscale and at different resolutions.
    5. Indexing
    File images are viewed and fields are keyed or automatically read from bar codes to create an index for subsequent access.
    6. Quality Review
    All scanned records are reviewed, against the paper, for accuracy, quality and complete file integrity.
    7. Output / Finishing
    The final step is to output the images and index. Output options include formats for an imaging system, archive PDF or directly to a cloud based system.
    8. Disposition
    Finally, the paper files are either shredded, stored or returned to the client.

From the moment your records are picked up, they are tracked in our proprietary system.
Your paper goes through the meticulous process of removing staples, repairing torn edges, and ensuring small documents are mounted on larger pieces of paper.
Both sides of your document are captured and with double feed detection, we ensure no image is lost.
A team of indexers review every image and pull out the required information.
Quality control is paramount so each file is reviewed to ensure that the documents were captured and the image quality exceeds industry standards.
Once we are done, we can store, return, or destroy the original files.
